The company holiday party is the one event of the year where transportation is not a nice-to-have. There is an open bar, guests are scattered across the office and the suburbs, the venue may have awkward access, and finance wants everything on one invoice. If you are the HR manager, office manager, or executive assistant holding all of that, the transportation plan is the difference between a party people talk about and an evening you spend refreshing rideshare apps in a coat-check line.
ALVE runs corporate holiday party transportation across Greater Boston with professional chauffeurs, published hourly rates, and corporate billing terms designed for exactly this event. Here is how it works, what it costs, and when to book.
Nobody should drive home from an open bar
The simplest argument for booking chauffeured vehicles is the obvious one: if the company is pouring drinks, the company should not be counting on employees to drive themselves home afterwards. That is not a legal analysis — it is common sense, and it is the reason most organisers start looking for a transportation partner in the first place.
Rideshare is the default fallback, and it fails in a predictable way: two hundred guests leave a venue within the same forty-five minutes, surge pricing spikes, and half your team stands on a cold sidewalk in December. A pre-booked fleet with chauffeurs staged at the door removes that entire failure mode. Guests walk out, get in, and go home.
Why hourly beats point-to-point for a party
Point-to-point transfers price a single ride from A to B. That model works for an airport run; it collapses for a party, where the real requirements are:
- Multiple pickup points — the office, plus clusters of homes or a commuter parking lot
- A staged wait — vehicles remain at or near the venue for the duration of the event
- Staggered, unpredictable departures — some guests leave at 9:30, others close the room down
- Route changes on the fly — an extra drop-off, a second stop, a guest who changes plans
An hourly, as-directed booking covers all of this with one reservation per vehicle. The chauffeur is yours for the evening: pickups in whatever order makes sense, waiting included, returns run in waves until the last guest is home. No re-quoting, no per-leg surcharges, no negotiating with an app at midnight.
What it costs
Most holiday party pages in Boston will not show you a number. Here are ours:
| Vehicle | Hourly rate | Minimum |
|---|---|---|
| Executive sedan (up to 2 passengers) | $85 per hour | 2 hours |
| Executive SUV (up to 5 passengers) | $110 per hour | 2 hours |
A 15% administrative fee is added to every booking; it covers dispatch and the chauffeur's gratuity, so there is nothing extra to hand over at the end of the night. Pricing is fixed at confirmation — the number on your confirmation is the number on your invoice. For a typical five-hour party evening, that puts a sedan at $488.75 all-in and an SUV at $632.50, which you can put in front of your budget owner today rather than after a quote call.
How the evening actually runs
A realistic flow for a December party looks like this:
- 5:30–7:00 pm — outbound. Vehicles collect guests from the office and, where needed, from home clusters in the suburbs. Executives and VIP guests often get a dedicated sedan; groups ride in SUVs.
- 7:00–10:00 pm — staged wait. Chauffeurs park near the venue and stay reachable. Anyone who needs to leave early — a babysitter deadline, an early flight — is driven home immediately without dismantling the plan for everyone else.
- 10:00 pm onward — staggered returns. Departures run in waves. Chauffeurs shuttle drop-off loops until the organiser confirms the last guest is accounted for.
Because the vehicles are on the clock rather than on a route, the plan bends without breaking. The party runs 40 minutes long? The chauffeurs are already there.
Venues we work every December
Two venue types dominate Boston corporate holiday calendars, and each has its own access reality:
Encore Boston Harbor is the easiest large venue in the region for chauffeured arrivals: a dedicated porte-cochere means vehicles pull directly to the door, guests step out under cover, and pickups at the end of the night are equally clean. It is also a frequent second stop — plenty of groups do dinner downtown, then move the party to Encore, which an hourly booking absorbs without a new reservation.
Downtown hotel ballrooms — the Seaport, Back Bay, and Financial District properties — are straightforward for arrival but congested at departure, when every group in the building leaves at once. We stage vehicles ahead of the rush and coordinate with the door team so your guests are not waiting in a taxi-line scrum.
If your party is built around a game or a show instead of a ballroom, see our events coverage — venues like Gillette Stadium and TD Garden have specific vehicle restrictions worth knowing before you book anything.
Book in October — December does not forgive
Holiday party transportation has a hard calendar problem: nearly every company in Boston wants the same three or four Thursday and Friday evenings in the first half of December. Chauffeured fleets — ours and everyone else's — are finite, and prime dates are typically committed by mid-November.
The practical rule: once your venue is booked, book the vehicles. Organisers who confirm in October choose their fleet; organisers who call in late November take what is left. Fixed confirmation pricing means booking early costs nothing extra — it only locks your date.
Multi-vehicle coordination, one point of contact
A 60-person party might need one SUV; a 200-person party needs a coordinated fleet running synchronized pickups from several points. ALVE operates its own sedans and SUVs and extends capacity through a vetted affiliate network, all dispatched centrally. You deal with one coordinator, not five drivers' mobile numbers. On the night, the organiser gets a single contact who knows where every vehicle is.
Billing that survives contact with finance
This is where a corporate account earns its keep:
- One consolidated invoice — every vehicle, every pickup, the whole evening on a single monthly statement, not a stack of receipts
- Net-30 terms — no personal cards, no expense-report reconciliation
- Certificate of insurance on request — many hotels and venues require a COI from transportation vendors; we issue it as a matter of routine
- Fixed confirmation pricing — the quote is the invoice
- Saved traveller profiles — useful when the same executives ride with us for day-to-day car service the rest of the year
Frequently asked questions
How far in advance should we book for December?
October. Prime December dates are usually committed by mid-November, and early booking costs nothing extra because pricing is fixed at confirmation.
Can one invoice cover multiple vehicles and multiple dates?
Yes. Corporate accounts receive one consolidated monthly invoice on net-30 terms, covering every vehicle and every booking in the period.
Our venue requires a certificate of insurance. Can you provide one?
Yes, on request. Tell us the venue's certificate-holder details when you book and we will send the COI directly.
What happens if the party runs late?
Nothing dramatic — the booking is hourly, so the chauffeurs simply stay. Additional time is billed at the same hourly rate on the same invoice.
Do the vehicles wait at the venue during the party?
Yes. Chauffeurs stage at or near the venue for the duration, so early departures and staggered returns are handled without call-and-wait delays.
Can you pick guests up from homes in the suburbs, not just the office?
Yes. As long as the origin or destination is in Greater Boston, we cover pickups and returns across New England. Multi-stop home loops are normal for party nights.
Is the chauffeur's gratuity included?
Yes. The 15% administrative fee covers dispatch and gratuity — guests never need to reach for their wallets.
Can the same booking handle a second stop, like dinner downtown then Encore?
Yes. Hourly, as-directed service means the itinerary is yours to change — a downtown dinner followed by a move to Encore Boston Harbor is one of our most common December patterns.
Lock your date
If the venue is booked, the vehicles should be next. Book online or call +1 (617) 440-2174 with your date, guest count, and pickup points, and we will map the fleet and send a fixed quote the same day. For recurring needs beyond the party — client dinners, board meetings, client entertainment — a corporate account puts it all on the same invoice.
